How to Make an Insurance Claim

Here's our step by step guide of how to make an insurance claim for your pet, after having treatment with us.

Step 1: Contact your Insurance Company

Before proceeding with your claim, it’s essential to first check with your insurance company whether the condition you're claiming for is covered by your policy. Insurance policies can vary widely, and there may be exclusions or limitations.

We also advise that you verify your policy excess, which is the amount you'll need to pay before your insurance covers any of the costs. Some policies also have a percentage copayment, meaning you might be required to cover a certain percentage of the total costs.

If the amount you're claiming for is less than your excess, it is generally better not to submit a claim. This is because your insurance won't cover the cost until it exceeds the excess amount. However, if the treatment continues and the total cost exceeds your excess, you can submit a claim for the entire treatment.

Step 2: Learn the Claims Process

Contact your insurance company to ask how to make a claim. Many insurance companies provide an online claims portal. This portal allows you to enter your claim details, and then they will reach out to us to request the necessary information to complete the claim.

For some companies, you may still need to fill out a paper or digital claim form. It’s important to check with your insurance company about their specific process so you don’t miss any important steps.

Step 3: Complete your Part of the Claim

Once you've received your claim forms, whether digital or paper, you’ll need to complete your part of the claim.
 

If you're using an online portal, it’s often as simple as logging in and filling in the details about the treatment and the condition being claimed.

For paper or digital forms, fill them out carefully with the required information, ensuring accuracy to prevent delays.

Step 4: Submit our Insurance Request Form

After completing your part of the claim, you need to submit our online insurance request form. This form is essential for us to process the claim on our side.
 

If you’ve filled out a paper or digital form, you can attach it directly to our request form, making sure we have all the information we need.

We will then contact you with payment details for our £25 admin charge for processing the claim. Please note that this fee is only applicable for new claims. If you are continuing a claim for a condition we have previously claimed for, this fee won’t apply.

Unfortunately, most insurance policies don’t cover this admin charge, so it will not be included in the amount you receive back from your insurance company.

Step 5: We Complete our Part

After you’ve submitted all the necessary documentation and paid our admin fee, we will complete our portion of the claim. This includes verifying your information and providing the required medical details to your insurance company.
 

Please allow up to 4 weeks for us to complete this part of the process. As a small business, we don’t have the same resources as larger practices, so our claim processing might take a little longer.

If more than 4 weeks have passed, please feel free to contact us for a status update.

If you have any questions regarding your insurance policy or need specific details about your claim, it’s best to contact your insurance company directly.

We receive numerous inquiries daily. To ensure that we process all claims efficiently, please do not email us for an update before 4 weeks have passed since your submission.


If you send multiple emails or inquiries, your request will be moved to the end of the queue. This is to ensure fairness to all clients and to allow us to process claims in the order they were received.

Please be patient, and remember to contact us only after 4 weeks if you haven't received an update. We appreciate your understanding and cooperation in this matter.
